In support of our rapid and continued UK growth, we are currently seeking a Service Renewals & Logistics Executive to join our Service Business Team. This is a fantastic opportunity to play a pivotal role in enhancing our processes, ensuring seamless service contract renewals and effective logistics coordination, and supporting our sales teams within a company that values its people and offers genuine opportunities for development.

Your role as Service Renewals & Logistics Executive

Your role will be key in ensuring the smooth and accurate renewal of service contracts as well as the coordination and management of logistics activities. You will work closely with the Sales team, vendors, suppliers, and operational teams to align data, track shipments, resolve logistical issues, and support end-to-end service excellence. You will play a vital role in reviewing service agreements, capturing and managing shipping data, streamlining processes, and leveraging analytics to drive both operational efficiency and process improvement.

To succeed in this role, you should be analytical, detail-focused, and proactive, with strong organisational skills and the ability to operate effectively in a fast-paced environment. You should be passionate about delivering exceptional results, supporting your colleagues, and ensuring a seamless customer experience across both renewals and logistics functions.

The successful candidate will be a motivated team player with strong problem-solving skills and a methodical approach. This role would suit an experienced Logistics and Renewals Co-ordinator with proven experience, particularly someone who enjoys varied responsibilities across business operations and is eager to drive improvements.


Key responsibilities of the role include:

Renewals:

  • Play a key role in the renewals process, ensuring support contracts are renewed in a timely manner.

  • Produce regular reports for Sales teams on expired and upcoming renewals, tracking metrics and identifying opportunities.

  • Support account managers with strategic renewals for key accounts, including combining and co-terming contracts.

  • Communicate essential information to vendors to ensure partner support aligns with agreed contracts.

  • Validate the accuracy of service agreement data, including serial numbers, hardware locations, and SLAs.

  • Perform health checks on service agreements, review purchase orders, and suggest improvements to enhance processes.

  • Ensure the timely completion of service decline forms and escalate any quality assurance issues to management.

  • Collaborate with Business Operations and SDMs to support accurate audits and maintain database integrity.

Logistics:

  • Coordinate shipping requirements at the point of order entry, ensuring accuracy and timely capture of data.

  • Monitor and track inbound and outbound shipments, proactively resolving any logistical issues to ensure smooth delivery.

  • Liaise with warehouse teams and external suppliers to coordinate deliveries, manage inventory levels, and improve operational efficiency.

  • Maintain accurate documentation across both renewals and logistics processes, ensuring compliance with internal procedures and external regulations.

  • Update and maintain logistics systems and related databases with current shipment, inventory, and supplier information.

  • Coordinate with logistics partners and couriers to schedule collections, track shipments, and manage any delivery-related issues.

  • Support the management of freight costs and identify potential cost-saving opportunities.

  • Generate and analyse performance reports relating to both renewals and logistics activity to support continuous improvement.

  • Deliver excellent customer service to internal stakeholders and external customers, ensuring a smooth and responsive operational experience.

Requirements include:

  • Fluent in English with excellent written and oral communication skills.

  • Exceptional attention to detail and accuracy.

  • Strong analytical and mathematical skills, with the ability to interpret data.

  • Experience in data mapping, validation, and audits.

  • Familiarity with CRM/ERP systems and strong knowledge of Microsoft 365.

  • Ability to work calmly under pressure with a proactive, problem-solving mindset.

  • Degree or equivalent preferred.

 

Job Specifics

  • Location: This role is based at our Basingstoke office, with flexibility for occasional home-working by agreement (free hot & cold drinks, breakfast items, snacks, lunches, and regular takeaway Fridays are provided to all staff in the office!)

  • Hours: Full-time, Monday-Friday, 9:00am-5:30pm
